Jamestown Soccer  Club Executive Committee Meeting
7:00 PM, August 17th, 2008

Agenda

Classic Report (Watson):
  • There were 18 clubs in attendance.  All of the triad clubs (GUFC, GSC, PTFC, Winston) were there.  
  • Reviewed the Spring Season - state had 634 classic teams with over 6,000 matches being played.
  • North Carolina had two teams advance to the USYS National Final Four in Little Rock (93 SCSA Gold courtesy of the JSC 'twins') and 91 TUSA Gold.  North Carolina had four teams represented in the Director's Cup Final Four - 92 JSC Gold, 91 NBASA Coastal United, 90 FSC Force, and 92G Wilson.  JSC was the only "national championship winner" of the six.  
Fall 2008 Notes/Points of Emphasis:
  • There are no longer play dates.  Just a range of dates (Sept 2 - Nov 2) to have games played (Older girls have until Oct 19 to have counting matches played).  This makes it easier for associations, but also gives teams more rope...make sure your teams are told to front load the schedules in the future to allow as much 'makeup' time as possible.
  • Teams are allowed one re-schedule.  If the two teams cannot agree then the NCYSA will make a final ruling on when/where the games will be played.
  • State Cup 2008 Older Girls:
    • USYS Oct 25/26 - Fayetteville; Nov 1/2 - Ashevile
    • President's Cup  Oct 25/26 - Lake Norman; Nov 1/2 - Wilson
    • Final Fours:  Greensboro
  • Important Dates:
    • State Cup Application Deadlines - Sept 15
    • Roster Freeze Date - October 16
    • Transfer Freeze Date - October 7
  • Spring 2009 Important Dates:
    • Association Agreement Posted Nov 10.  Due to NCYSA by Nov 19.
    • Intent to Plays for Spring 2009 Posted Nov 17; Due by Dec 3 at 9:00 AM EST
    • Scheduling meetings for 2009 - Jan 5/6 (we will do only two days this year instead of three).
  • Notable:
  •     •    Item 1:  There are now 20 clubs doing the U10 Academy format.   The projection is another 5-7 clubs added into the fray next year.
  •     ◦    Note:  Triad teams doing the academy are GSC, PTFC, Winston, and GUFC.  This leaves only JSC, NTSC, and CCSC (if you count Asheboro) without an academy style U10 program.
  •     •    Those clubs who are not participating are seeing a sharp decline in the U10 challenge age group.  As such the various challenge leagues are hurting.  Brain storming suggests a third classic league.  Challenge League winners and Challenge State Cup teams could opt to "start" in second division.  
Challenge Report (Behe):
  • The Triad Challenge League continues to be strong overall.   The league is down in the U10 division a few teams - however every other age group is up numbers and teams.  This is the first time there is an older age groups of U18/U19.
  • The club has requested reimbursement as dictated by the TCL guidelines for coaching licensing and skills clinics conducted by Jamestown SC. 
Rec Report (Hege/Foy): 
  • Rec League numbers are down around 8 percent this year.  JYL Sports Director Hege believes this is mainly because of kids 'choosing' other primary sports and other factors (economy).
Club or team issues: (Watson/Foy): 
  • We would like to have a club banquet at the end of the season perhaps in either December or January.  This will include awards for coaches, players, parents, and volunteers.  Catered event served on a per plate basis.  Included events include silent auctions, door prizes, etc.  Nancy Groh will take the lead on setting this up. 
  • (Foy):  all financial aide submissions were approved up to the max of 60% of the annual dues.  The remaining 40% will be handled by the individual player via payment plan or other arrangements.  The scholarship program applies to less than 10% of the membership.
Old Business (Mortensen)

  • Review of JSC/JYL Structure - verifying the chain of command agreed upon in the early 2008 in 're-formation' presentation to JYL Board.
  • Major points of emphasis and directives agreed upon by the JSC Executive Committee and then working with Executive Director to implement plan of action to reach the goals.  
  • Committee believes the most pressing issues facing the club at this time are field space, corporate sponsorships, and continued brand/program maintenance to keep retention rate at a very high level.  These issues need to be at the forefront of day to day operations as well as long term planning.
  • Review Sub-Committees and provide reporting
    • Camps (Foy):  Camps were a success.  Approximately 100 campers between the two different camps.  All programs were handled by Camp Director Bill Winkle.  Foy will be meeting with Winkle in the next week to discuss further camp and clinic opportunities within the Jamestown Soccer organization(s).
  • Fields (Gillespie/Watson):   Our practice needs continue to be addressed with new opportunities.  There is another opportunity the club will explore going forward for additional field space.   Long term we will need to look into figuring a way to develop our own field space to accommodate projected growth.
  • Sponsorship Program (Creed):  We are in the process of producing a club information package so sponsorship liaisons have a tangible product to take with them.  The club will have this produced by September so we can move forward.  In addition the club will look at the various grants and awards from the various organizations who provide such funds.
  • Web Site (Watson):  Site continues to run and provide information.  We will be adding various schedules and important dates.  In addition we will add password protected sections for various subsets of members as appropriate.  These pages are already in the works.
  • Budgetary Review (Foy):  the club is operating within projected parameters.   Long term planning will consist of figuring our fixed costs.  Club is looking to adjust (lower) costs for the younger ages in the future.  Again this will be addressed as we go forward.
  • JSC Soccer Day Review (Foy):  Every team was represented in some capacity.  Need to better plan for the food next year.  The dunking booth was a big hit with the membership.  Street Soccer also provided great entertainment.
  • Coaches Gear Update (Watson/Foy):  The club will be providing coaching packages this season.  This has been budgeted for through allocation of funds and additional promotional opportunities handled by Watson and Foy.  The projected packages include polo shirts, training shirts, bags, cones, rain jacket, training suit (pants/jacket), and pinnies.
New Business
  • Monthly Meeting Proposal (Mortensen):  the executive committee will meet on the second Monday of each month at 7:45.
  • School Workday Camps (Foy):  More information will be forthcoming to the membership.  This will be a joint venture with the camp program (Winkle).  The goal is to provide soccer training and fun when players don't have school.
  • Membership Survey (Foy):  The club will be putting together a club survey via the website.   Behe will help Foy compose the questions so we can find out the memberships' thoughts on the fall season and overall change in programing.   The club will also be holding team by team meetings beginning in November as we did a season ago.  These will be held with committee members, team coach, and manager.
  • Executive Assistant position (Foy):  Michelle Belcastro will be leaving the soccer club in her current role.  She will help the transition process with the new hire.  Potential candidates will correspond with Alan in the initial interview process. 
  • Competitive Manual final review (Foy):  The manuel is nearing final draft.  When completed it will be posted in a protected area of the website and distributed to our coaching staff.  The goal is to serve as a base for each team to build off of.
